The Privacy Policy (“Privacy Policy”) describes how we collect, use, store, process and handle the information or data provided to us through your (“you” or “your”) use and access of Sockii’s proprietary Travel Logs - Vehicle Logbook application.
It is important that you read through and understand the Privacy Policy carefully. The Privacy Policy is hereby incorporated into and made a part of the Terms (https://travellogs.app/terms.html).
By accessing or using the Service, you represent and warrant that you have the full right, power and authority to agree to be bound by these Terms and to fully perform all of your obligations and accept all legal consequences.
If you do not agree to the Terms, in whole or in part, please do not use or access the Service.
Travel Logs - Vehicle Logbook is a proprietary vehicle logbook application (“Travel Logs” or “App”), made available on (a) iOS and Android mobile-platforms, and (b) web portal https://portal.travellogs.app (“Web Portal”), as well as the website https://travellogs.app (“Website”), (collectively, the “Service”), owned by Sockii Pty Ltd. (ABN 67 160 198 685) of Sydney, NSW, Australia (“us”, “we”, “our”, or "Sockii").
We designed and developed Travel Logs to help users keep records and manage vehicle-related information in one convenient place. Possible records and vehicle-related information may include, but is not limited to, trips, mileage, expenses, maintenance records, reports, and fleet submissions. Travel Logs may use automated trip tracking, Bluetooth connection triggers, NFC tags, motion detection, Places, geofencing, CarPlay support and/or Android Auto support, reporting tools, and fleet review workflows.
a. Account and Profile Information.
If you create an account, or contact us, we may collect account and profile information:
- Name;
- Email address;
- Account identifiers;
- Subscription or billing status;
- Fleet membership or team role and;
- Support messages or enquiries.
b. Vehicle and Logbook information.
The Service may store information you enter and/or generate via the App or Web Portal:
- Vehicle details;
- Trip records;
- Vehicle expenses, and;
- Maintenance and service records.
c. Location information.
Some features may require access to location in the background so Travel Logs can detect or manage trips even when the App is not open. You can control location permissions through your device settings, but some features may not work correctly if location access is disabled.
With location permissions granted, Travel Logs uses location information to help record trips and support features such as automatic trip detection, Places, geofencing, and location-aware trip automation. Location information may include your device location, trip start and end locations, saved Places, and location-based automation triggers.
Some location-related information, such as saved Places and geofencing settings, are stored on your device and, is not stored on our servers.
d. Live Location and Background Tracking.
Travel Logs may use location in the background to support automatic trip detection, Places, geofencing, and accurate vehicle logbook records.
Where applicable, any location data is generally processed locally on your device, and it is not stored on our servers; unless you use cloud-based features, and only then, will the information you provide to us include location-related trip details and location data will be stored on our servers.
We use location information for the sole purpose to provide App functionality. We do not sell your location data.
e. Fleet Information.
If you are a part of a Fleet, Drivers may upload or submit local Travel Logs records the Service. Submitted records may include trip records, expenses, maintenance records, comments, status updates, and related details. Fleet reviewers may view submitted records from the Fleet dashboard, add comments, request clarification, approve submissions, reject submissions, and may download generated reports.
Comments and review history are stored with the submitted record, so Drivers and Fleet reviewers can discuss submissions without losing context.
f. Payment Information.
Payments may be processed by Apple, Stripe, or another authorised payment provider. Your purchase may be subject to the payment provider’s own terms, billing rules, renewal rules, refund policies, and cancellation process(es).
Payments through Stripe, or another authorised payment provider, will be processed and handled by the corresponding authorised payment provider. We do not store your card details. Stripe, or the corresponding authorised payment provider, may collect and process payment information, billing details, transaction details, and related information in accordance with its own privacy policy, which we encourage you to read through and understand.
g. Diagnostics, Analytics, and App Performance Information.
We may collect technical information to help us understand Service performance, diagnose crashes, improve reliability, and maintain security. This may include:
- Device type;
- Operating system version;
- App version;
- Crash reports and;
- Diagnostic logs.
We use services such as Firebase Crashlytics and Apple Analytics to help monitor crashes, diagnostics, and App performance.
h. Website and Security Information.
When you visit, access, or use the Service, we may collect information such as IP address, browser type, device information, pages visited, request logs, and security-related events.
We use Cloudflare to help protect, secure, and deliver the Service.
We use Third-Party Service providers to help operate and improve the Service, which include:
a. Firebase and Crashlytics.
We use Firebase and Firebase Crashlytics to help monitor app stability, diagnose crashes, and improve performance.
b. Apple Analytics.
Apple may provide app analytics, crash, and usage information to developers where users have agreed to share analytics and diagnostic information through their Apple device settings.
c. Stripe
We use Stripe to process payments, subscriptions, billing, and related transaction information.
d. Geoapify.
We use Geoapify for location-related services, such as maps, geocoding, reverse geocoding, and location lookup features.
e. Cloudflare.
We use Cloudflare to help secure, protect, and deliver our website and online services.
These providers may process information in accordance with their own privacy policies and terms, which we encourage you to read and understand. These Third-Party Services may provide options to 'opt-out' of data collection.
The specific ways we handle the information you provide to us will generally fall into these four categories:
a. Service Delivery.
We store and use your data to help run the core features of the App, Website or Service you are using.
b. Analytics.
We track how users interact with the Service, through Third-Party Services, so we may improve functionality, user experience, enhance stability, and make adjustments where needed.
c. Security and Fraud Protection.
We store and monitor the usage of the Service to protect against unauthorised access, compliance of Terms, data breaches, and illegal activities.
d. Communication.
We store and use your information for the purpose of sending support replies, information relevant to your subscription, billing and use of the Service, and any other notices or updates we may regard as important in connection with the Service.
We never sell your personal information.
We may be required to share your information in the following situations:
- With Third-Party Service providers who help us operate the Service;
- With payment processors to manage subscriptions or purchases;
- With Fleet teams when you submit records to a Fleet;
- When authorised or required by law, regulation, legal process, or government request;
- To protect the rights, safety, security, or property of Travel Logs and the Service, users, or others, and;
- In connection with a business transfer, merger, acquisition, or sale of assets.
We take reasonable technical and organisational measures designed to protect information from unauthorised access, loss, misuse, alteration, or disclosure.
Most of the user-generated Travel Logs data is encrypted when stored. This includes records such as trips, mileage, expenses, maintenance records, Fleet submissions, comments, and related logbook information.
Some records may be stored locally on your device and, may be protected by your device’s built-in security features, such as passcode, biometric authentication, and device-level encryption.
However, no method of electronic storage or transmission is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security.
We will generally retain your personal information,:
- As long as you have an account with us;
- As long as reasonably necessary to provide the Service;
- Where and when necessary to comply with legal obligations, resolve disputes, maintain security, support Fleet workflows, enforce agreements, prevent fraud or misuse, and meet business reporting, compliance, or record-keeping requirements.
We may delete or purge inactive accounts and associated account data after ninety (90) days of inactivity. We may retain certain information where required or permitted by law, including for legal, tax, accounting, security, fraud prevention, dispute resolution, backup, compliance, or legitimate business purposes.
App records will remain on your device locally unless you delete them.
Fleet submission data may be retained by the relevant Fleet team for business, reporting, compliance, or record-keeping purposes, even if, at any time, you stop using the Service, leave a Fleet, or delete your account.
Crash, diagnostic, analytics, payment, and infrastructure records may be retained by our Third-Party Service providers according to their own data retention terms.
Some of our Third-Party Service providers may process or store information in countries other than your own.
Where information is transferred internationally, we rely on appropriate safeguards provided by our Third-Party Service providers and applicable laws.
